Terms of Service

Last updated: January 2026

Welcome to HostelBook. These terms explain how you can use our platform to manage your hostel operations. We wrote them in plain language so you know exactly what to expect from us.

By creating an account or using our services, you are agreeing to these terms. If you do not agree with something here, please do not use our platform. We are always happy to answer questions if anything is unclear.

Your Account

When you sign up, you are responsible for keeping your account secure. Use a strong password and do not share your login details with anyone. If you notice any suspicious activity, let us know immediately.

You must be at least 18 years old to use HostelBook. You are also responsible for ensuring all information you provide is accurate and up to date. This helps us serve you better and keeps your data secure.

If you are managing a hostel business, make sure you have the authority to represent that business. We reserve the right to suspend or terminate accounts that violate these terms or engage in fraudulent activity.

How You Can Use HostelBook

HostelBook is designed to help you manage your hostel operations. You can use it to track students, manage rooms, handle billing, and run your business more efficiently.

What you can't do: Don't try to hack our systems, reverse engineer our software, or use automated tools to scrape data. Don't use HostelBook for illegal activities or to store content that violates someone else's rights.

We work hard to keep the platform running smoothly. If you find bugs or have suggestions, we'd love to hear from you. But please don't abuse our systems or try to overload our servers.

Payment and Billing

If you are on a paid plan, you will be billed according to the pricing you agreed to when you signed up. We will charge your payment method automatically each billing cycle.

You can cancel your subscription at any time. When you cancel, you will continue to have access until the end of your current billing period. We do not offer refunds for partial months, but you will not be charged for future periods.

If your payment fails, we will try to reach out and help you resolve it. If the issue persists, we may need to suspend your account temporarily until payment is resolved. We will always give you notice before taking any action.

Your Data and Privacy

The data you store in HostelBook belongs to you. We do not sell your data or use it to train AI models. We use it only to provide and improve our services.

We take data security seriously. Your information is encrypted, backed up regularly, and stored securely. We follow industry best practices to protect your data from unauthorized access.

You can export your data at any time. If you decide to cancel your account, we will help you download everything before we delete it. We keep backups for a reasonable period in case you change your mind.

Service Availability

We aim for 99.9% uptime, but sometimes things happen. Planned maintenance, unexpected issues, or third-party service problems can cause temporary outages. We'll do our best to minimize disruptions and keep you informed.

We're not liable for downtime or data loss caused by factors outside our control, like natural disasters or internet outages. However, we maintain regular backups and have disaster recovery procedures in place.

Changes to These Terms

We may update these terms occasionally as our service evolves. When we make significant changes, we'll notify you by email or through the platform. Continued use after changes means you accept the new terms.

If you don't agree with major changes, you can cancel your account. We'll help you export your data before you go.

Contact and Support

Questions about these terms? Need help with something? We are here for you. Reach out through our support system or email us directly.

We are committed to resolving issues fairly and quickly. If you have a complaint or dispute, let us talk about it. Most problems can be solved with a conversation.

These terms are effective as of January 2026. By using HostelBook, you acknowledge that you have read, understood, and agree to be bound by these terms.
